Who we are

This policy covers the Talkthrough website, web app and iPhone app, run by Talkthrough ("we", "us"). Talkthrough lets coaches and organizations turn their methods into practice conversations that people do between sessions.

When an organization or a coach sets up a workspace and invites people to practice, that organization or coach decides what is practiced and who sees the results. For that workspace content, they are in charge of the data (the "controller"), and we process it on their behalf. If you practice through your employer or your coach, they can also answer questions about how your data is used.

What we collect

Information you give us

  • Demo requests: your name, work email, company, role, team size and anything you tell us about the conversations you'd like to practice.
  • Account details: your name, email address and, if you add one, your phone number.
  • Practice content: the transcript of each practice round and, for voice rounds, its recording, and the scores, feedback, retries and session ratings that go with it.
  • Coach and workspace content: scenarios, criteria, notes, and the text of methodology documents a coach uploads.

Information collected as you use Talkthrough

  • Voice recordings: during a voice round, audio streams from your device to our voice provider so the conversation can happen. We record voice calls (both sides) and keep the recording in our own database so you and your coach can listen back. The app tells you a call is recorded before it starts.
  • Usage data: which pages and features are used, device and browser type, app version and errors, keyed by an internal ID rather than your name or email.
  • A notification token if you allow notifications in the iPhone app, used for practice reminders once they launch.
  • Where a visit came from (for example a campaign link), when you request a demo.

How we use it

  • To run the service: sign you in, run practice rounds, score them, and show results to you and to the people in your workspace who can see them.
  • To send the emails the service needs, such as sign-in links and new practice.
  • To answer demo requests and talk with you about Talkthrough.
  • To keep the service secure, prevent abuse and fix problems.
  • To understand which features help, using usage data that doesn't name you.

We don't sell personal information, and we don't use practice content for advertising. Where the law requires a legal basis, we rely on performing our contract with you or your organization, our legitimate interest in running and improving the service, and your consent where we ask for it.

AI processing

Practice conversations are processed by AI models from OpenAI and Anthropic, used through their business APIs.

  • Neither provider trains its models on this data, and we don't opt in to any data-sharing program. We don't train models on your content either.
  • The providers may keep a copy for up to 30 days to detect abuse, and Anthropic keeps content flagged for policy violations for up to 2 years. We never ask them to store conversations otherwise.
  • Scores and feedback are practice aids for you and your coach. They aren't meant for decisions about hiring, promotion, pay or discipline, and we don't use them that way.

Who we share it with

We share personal information only with companies that help us run Talkthrough, under contracts that limit what they can do with it.

Inside a workspace, a learner's coach sees their practice in full. Owners, admins and cohort leads see progress and scores, not what was said. Authorized Talkthrough staff can access workspace data only when needed to support and secure the service; access is read-only and every access is logged. We may also disclose information if the law requires it, to protect people's safety or our rights, or as part of a merger or sale of the business, in which case this policy keeps applying to it.

How long we keep it

  • Practice content: each workspace can set a retention period. Transcripts, written feedback, notes and rating comments older than it are deleted automatically. Scores are kept so progress can be shown over time. Without a retention period, content is kept until it's deleted.
  • Recordings: kept until they're deleted, including on request. A workspace's retention period doesn't remove recordings; they're kept with no time limit.
  • Accounts: for as long as the account is active, then deleted on request, or within 30 days after the customer's agreement ends.
  • Demo requests: for as long as we're talking with you, and deleted on request.
  • Analytics: according to our analytics provider's retention settings.

Cookies and analytics

  • This website doesn't set cookies or store anything on your device. It counts visits without identifying you.
  • The web app uses a cookie to keep you signed in, and its analytics stores an anonymous identifier in your browser. Session replays, when used, mask all text and form inputs.

Your rights

Depending on where you live, you can ask to see, correct, export or delete your personal information, object to or limit how we use it, or withdraw consent. We'll answer within the time the law requires. If you practice through an organization or a coach, we may pass your request to them, because they control that workspace's data.

California residents have the right to know, delete and correct personal information and not to be discriminated against for using these rights. We don't sell or share personal information for cross-context behavioral advertising. People in the EU and UK can also complain to their data protection authority.

Talkthrough isn't meant for anyone under 16, and we don't knowingly collect their information.

Where data is stored

We store data in the United States. If you use Talkthrough from elsewhere, your information is transferred there, protected by the safeguards in this policy and in our contracts with the companies above.

Security

We protect data with encryption in transit, passwordless sign-in, access controls and audit logs. Our security page has the details.

Changes

If we change this policy, we'll update the date at the top. If a change is significant, we'll tell account holders before it takes effect.
